MICE group train booking for meetings, incentives, conferences and exhibitions

In peak season a group flight can cost far more than the same group pays on the fastest train. We move the whole group by train instead, from Delhi NCR, the metros and tier-2 towns alike: every leg booked the morning booking opens, 60 days ahead, together in as few coaches as possible, with one statement at the end. Train tickets only, from a desk licensed by Indian Railways (YTSK) and authorised by IRCTC.

The budget

Group flight or train: what the budget sees

The ticket is only part of it. The train also saves costs a fare comparison leaves out.

  • An overnight train saves a hotel night

The group sleeps on the train and arrives in the morning, ready for the first session. That is one night's rooms the budget doesn't pay for.

  • No airport transfers

Stations sit in town. No coaches to and from the airport at either end, and no reporting hours before departure.

  • More luggage allowed

Each passenger's own bags travel with them under the Railways' luggage rules, whose free allowance is far more generous than an economy airline ticket's.

  • More winners for the same budget

When each seat costs less, more dealers or staff can qualify for the same incentive budget.

  • Train fares hold; flight quotes jump

Most train fares are set by class and distance. A few premium trains, such as Rajdhani, cost somewhat more as seats fill, so we book the group the morning booking opens. A group flight quote can climb to several times the usual fare in peak season.

  • Yes, it takes longer

Delhi to Goa is about a day on the fastest train. On an incentive trip that day is part of the reward: the whole group travels together. If your programme can't spare the time, we say so.

M — Meetings

Meetings and offsites by train

Regional sales meetings, board offsites and training batches. For shorter hops the day trains (Vande Bharat and Shatabdi) put a team in chair car or Executive Chair Car, laptops open, city centre to city centre.

  • Day trains for meetings a few hours away, overnight trains for the rest
  • Executive Chair Car or First AC for senior teams, any class for the rest
  • Out and back booked together, so the return isn't left to chance

I — Incentives

Incentive trips by train

Dealer and top-performer reward trips to Goa, Kerala, Rajasthan or the hills. Your winners often live in tier-2 and tier-3 towns, not the metros, and the train starts from their own station. It keeps the group together from the first platform, and the money saved on fares can go into the trip itself, or into more winners.

  • Booked on opening morning, 60 days ahead, for the best chance to confirm everyone
  • Seated together in as few coaches as possible
  • Winners from many towns, each boarding near home

C — Conferences

Conferences and annual meetings

Employees, members or delegates arriving from many cities for fixed dates, often in different classes by grade. We plan the train from each city so everyone lands in time for the opening session, and bring them home after the last one.

  • One rail plan for every city your delegates come from
  • Late names added at Tatkal, one day before travel
  • One statement for the whole event, with a GST invoice

E — Exhibitions

Exhibitions and trade fairs

Stand teams and visiting staff for a trade fair, with set-up days before the opening and a pack-down day after it: Bharat Mandapam, Yashobhoomi or India Expo Mart in Delhi NCR, or the big halls in Mumbai, Bengaluru, Hyderabad, Chennai and Kolkata. Each person's own bags travel with them.

  • Set-up crew, stand staff and visitors on their own dates
  • Personal luggage under the Railways' rules, more than an airline allows
  • Return legs booked for pack-down day, not as an afterthought

The hard part

Many cities, one venue

A group from one city is one problem. A group from twelve cities is twelve, all due on the same morning.

  • Many cities, one arrival day

A delegate from Lucknow and one from Pune need different trains that both arrive before the opening session. We plan each city's train so the whole group lands in time, ideally the day before.

  • Every city opens on its own morning

Booking opens 60 days before each train's journey date, at 8:00 AM. An overnight train opens a day earlier than a day train, and a two-night train from the far end of the country earlier still. One event can have several opening mornings. We keep that calendar for you.

  • A hundred people is seventeen bookings

The Railways allow six passengers on one booking, four on Tatkal. We make every booking at 8:00 AM on opening morning, which is the best chance to confirm the whole group together in as few coaches as possible.

  • The list keeps changing

Names firm up late and people drop out. We book the confirmed names on opening morning, add late names at Tatkal one day before travel, and handle cancellations and refunds under the Railways' rules.

  • Everyone leaves at once

After the last session the whole group heads home on the same evening, in every direction. The return legs open on their own mornings too, and we book them with the outward ones, not as an afterthought.

  • One statement, not a hundred receipts

Every booking, cancellation and refund for the event goes into one sheet, with a GST invoice for the company. Your finance team reconciles once.

Every route, every city

MICE groups from Delhi NCR, the metros and tier-2 towns

Companies and venues sit in Delhi NCR and the metros; your dealers are often in tier-2 and tier-3 towns. We book from all of them, on every route in India, to any venue.

  • Delhi NCR and the metros

Teams leaving Delhi, Gurgaon, Noida, Mumbai, Bengaluru or any other metro for a meeting or reward trip, and delegates from every city coming in to an event there.

  • Tier-2 towns: board near home

Almost every dealer town has a railway station; far fewer have regular flights. From a smaller town a flight often means a long drive to a bigger airport, or a change on the way. The train leaves from the town itself.

  • Pick up along the line

Dealers from towns on the same line can travel on the same train, each boarding at their own station. We check which booking gives each town the best chance to confirm.

Events in Delhi NCR

Bringing delegates to an event in Delhi NCR

For a summit or a trade fair, delegates come in from every state. We plan each city's train to arrive the day before the opening.

  • Bharat Mandapam

    Pragati Maidan, central Delhi

Summits, conventions and the big trade fairs. New Delhi and Hazrat Nizamuddin are the nearest main terminals.

  • Yashobhoomi

    Dwarka Sector 25

India International Convention and Expo Centre. The Airport Express metro runs to it from New Delhi station.

  • India Expo Centre and Mart

    Greater Noida

Large trade shows. Delegates arriving by train usually go on by road from New Delhi, Anand Vihar or Ghaziabad.

  • Aerocity hotels

    Beside Delhi airport

Conferences and offsites in the hotel district.

How it works

From your group list to confirmed PNRs

01

Send the event, or your flight quote

Venue city, dates, and the cities your group comes from with a rough count for each. If you already have a group flight quote, send that too.

02

Get a written rail plan

For each city: the train that arrives in time, the class, the morning booking opens, and the total per passenger (the Railways fare plus our service fee). Put it next to the flight quote. Nothing is booked yet.

03

Approve and pay

Each booking is paid before it goes in. Companies can move to monthly credit once a contract with terms and conditions is signed. Agencies always pay before each booking.

04

We book on each opening morning

At 8:00 AM on the day each leg opens, together in as few coaches as possible. The PNRs come back to you in one sheet: who is on which train, coach and berth.

05

Changes until the day

Late names, drop-outs, cancellations and refunds. Any waitlisted name is tracked to chart preparation, and you hear from us before you have to ask.

Event and MICE agencies

You run the event; we book the train legs and send the PNRs back to you. We never contact your client, and we have no air desk to sell them anything. Every booking is paid before it goes in.

How we work with agencies →
Our promise

Only a confirmed berth counts. RAC doesn't.

App guarantees treat RAC as a success: you share a berth overnight and they pay nothing. We don't. If we can't deliver a confirmed (CNF) berth, you get a 100% refund, no questions asked — usually the same day, and always within 48 hours of asking — or the alternative that suits you better.

What our clients say

“I travel Delhi–Mumbai almost every week. When Tatkal sells out in seconds, these are the people I message. They have confirmed seats for me more times than I can count, on Rajdhani and Vande Bharat both.”
Arjun Mehta · Frequent business traveller
“We had 11 people travelling for a wedding and were stuck on a long waitlist. I sent one WhatsApp message with everyone's details and they coordinated the whole thing. Almost all confirmed.”

Questions

What companies and event planners ask us

What is MICE travel?+

MICE stands for Meetings, Incentives, Conferences and Exhibitions: business travel for groups, from a regional sales meeting or a dealer reward trip to a national conference or a trade fair. We book the train side of it: tickets for the whole group, from every city and town they come from.

Is the train really cheaper than a group flight?+

Often, and most of all in peak season, when group flight quotes climb. For one November dealer meet in Goa, 250 people from a cement company, the group flight quote ex-Delhi was ₹16,460 a head; we booked the train round trip at ₹7,200 a head, ₹23.15 lakh less for the group. The train also saves what a fare comparison leaves out: an overnight train saves a hotel night, and there are no airport transfers. Fares change with route, date and class, so send us your flight quote and we reply in writing with the train cost for the same group.

Do train fares go up like flight fares?+

Not in the same way. Most train fares are set by class and distance and don't move with demand. A few premium trains, such as Rajdhani, cost somewhat more as seats fill, which is one more reason we book groups the morning booking opens. Premium Tatkal, a last-minute quota on some trains, costs more again, but a group booked 60 days ahead rarely needs it. A group flight quote, by contrast, can climb to several times the usual fare in peak season.

Do you book MICE groups from Delhi and the other metros?+

Yes. Delhi NCR is home ground for our desk: Delhi, Gurgaon, Noida, Ghaziabad and Faridabad. We book from every metro too, Mumbai, Bengaluru, Chennai, Kolkata, Hyderabad, Pune and Ahmedabad, whether your team is leaving for a meeting or reward trip, or delegates from every city are coming in to an event there.

Which Delhi station should our group leave from?+

It depends on the direction. New Delhi for most northern, eastern and southern trains, Hazrat Nizamuddin for much of the Mumbai, Gujarat, Goa and southern traffic, Anand Vihar for Uttar Pradesh, Bihar and Bengal, and Delhi Cantt or Gurgaon for Rajasthan. We choose the one where the whole group is most likely to confirm.

Can you book delegates coming to Bharat Mandapam or Yashobhoomi?+

Yes. Send the cities your delegates come from and a count for each. We plan the train from every city to arrive the day before the opening, book each one the morning its booking opens, and bring everyone home after the last session.

Our dealers are in tier-2 and tier-3 towns. Can you book from there?+

Yes. If a town has a station with reserved trains, we can book from it, on any route in India. Dealers from towns on the same line can travel on the same train, each boarding at their own station, and we check which booking gives each town the best chance to confirm. Send the towns and a count for each.

Can you do bulk train ticket booking for a company event?+

Yes. A bulk booking here is many bookings made together, every ticket in the traveller's own name: the Railways allow six passengers on one booking, four on Tatkal. We make them all at 8:00 AM on opening morning and send every PNR back in one sheet, with a GST invoice.

Doesn't the train take much longer?+

On long routes, yes: Delhi to Goa is about a day on the fastest train. For incentive trips and dealer meets that day is part of the trip, the group travels together, and the budget goes further. If your programme can't spare the time, we say so plainly.

Can you keep 100 people together?+

A coach holds a few dozen berths, so a group of 100 can't fit in one. We make all the bookings at 8:00 AM on opening morning, 60 days ahead, which is the best chance to keep the group together in as few coaches as possible.

Can you book people coming from many different cities?+

Yes. Send the cities and a count for each. We find the train from each city that arrives in time, tell you the morning each one opens, and book every leg on its own opening morning.

How early should we start?+

The day the venue and dates are fixed. Booking opens 60 days before each journey at 8:00 AM, and for a big event the trains from different cities open on different mornings. Starting early means none of those mornings is missed.

Our list isn't final. Can we still start?+

Yes. We book the names you have on opening morning and add the rest as they firm up. A late name can go in at Tatkal, which opens one day before travel. Drop-outs are cancelled and refunded under the Railways' rules, and we file that for you.

Do you book hotels, venues or flights?+

No. We book train tickets only. Your events team or travel partner handles the rest, and we fit the trains around their programme. Because we sell nothing else, there is nothing we could take from them.

Which classes and trains?+

Every class, from First AC, AC 2-tier and AC 3-tier to Executive Chair Car, Chair Car and Sleeper, on every route in India, including Rajdhani, Vande Bharat, Shatabdi and Duronto. If senior staff and dealers travel in different classes, tell us the class for each grade.

How do payment and GST invoicing work?+

We tell you the total per passenger first: the Railways fare plus our service fee. Each booking is paid before it goes in, with a GST invoice for the company. Companies can move to monthly credit once a contract with terms and conditions is signed. Agencies always pay before each booking.

What if someone's berth doesn't confirm?+

Each passenger is covered on their own: Confirmed berth or 100% refund — RAC doesn't count. You know where every name stands well before the event.

We are an event agency. Will you deal with our client?+

No. You send the request, we return the PNRs to you, and your client deals only with you. Our page for agencies explains how we work behind your brand.
