Why a train fits a college trip budget
Students pay for a college trip, so the budget is the first question. On most routes, Goa and the other big destinations included, the train is where it holds. On a long route the train takes longer than a flight, and we say so before you decide.
A group flight can cost far more in peak season
Around Christmas, New Year and long weekends, group flight quotes can jump several times over. Most train fares are set by class and distance, and the few that rise as seats fill rise only somewhat.
The night on the train is a night's stay
An overnight train to Goa, Rajasthan or the hills carries the group while it sleeps. The trip gains a full day at the destination and skips a hotel night at one end.
Pick the class to fit the budget
Sleeper is the lowest-cost class with berths, Third AC is the usual choice when the group wants air-conditioning, and Chair Car suits a daytime run. Every one is a reserved seat or berth with the student's name on it.

Students in the same class or section in the same coach, as far as the train allows, with the coach-wise list sent to the coordinator before travel.

Chaperones are placed with the students they are responsible for, not at the other end of the train.

Out and back, booked together on the morning each date opens, so the return is never the ticket nobody got.

Reservation opens 60 days ahead. A tour of 200 needs the whole quota of a train, so we are ready at 8 AM on the day, not a week later.
One list, one invoice
The school sends one spreadsheet of names, ages and ID types. Every PNR comes back on it, with one GST invoice for the institution.
A person who says what will confirm
Before any payment, an agent tells you which train, date and class can hold the whole party, and which cannot.
Every fare is public. Why do groups still book through an agent?
IRCTC and the station reservation counter give everyone the same screen and the same fares. What they do not give is a person who answers for the result.
What you can do yourself
On IRCTC, or at the station reservation counter
- See every train, every class, the fare and the current availability.
- Book up to six passengers on one ticket, four on Tatkal.
- From your own ID: your family and friends, up to 12 tickets a month, 24 with Aadhaar.
- At the counter: one form per six passengers, one queue, cash or card, no written plan.
- Watch your own waiting list until the chart, and work out the refund yourself if it fails.

The part you are paying a service charge for
- A person reads the quota, the train and the date before you pay, and says what will confirm and what will not.
- Books a group of any size lawfully: agent credentials, many bookings in one sitting, no personal-ID cap, the whole list in at 8:00 AM the morning your date opens.
- One list in, every PNR back, coach by coach, with teachers, elders or the team kept together where the train allows.
- Both legs handled together, so the return is never the ticket nobody got.
- Watches every waiting list until the chart and moves passengers if a plan is needed.
- Confirmed berth or 100% refund, passenger by passenger, and a GST invoice for the institution.
- Answers on WhatsApp at eleven at night, the day before, when the counter is shut.
That is why a licensed desk exists next to a free website: not for the fare, which is the same, but for the result.
The rule on personal IRCTC accounts
- Your own family and friends: allowed. Indian Railways said so in writing in June 2024. Any name, any surname, on your own ID.
- A group of other people: not allowed. A personal IRCTC ID is for personal use. It is capped at 12 tickets a month, 24 if Aadhaar-linked, and IRCTC's terms forbid commercial use. A school, a company or a wedding planner booking 200 other people from staff IDs is outside that.
- Selling or procuring tickets for others without authorisation is an offence. Section 143 of the Railways Act, 1989: up to three years in jail, a fine up to ₹10,000, or both. The Supreme Court confirmed in January 2025 that it covers e-tickets. Authorised agents are the lawful route; that is what the authorisation is for.

Questions tour coordinators ask
How many students can you book on one tour?+
From 30 to 1,000. Every reservation holds up to six passengers, so a tour is many bookings made together, in blocks that keep each class with its teachers wherever the train allows. The limit is the train's capacity on the date, which we check before you commit.
Can the whole school be in one coach?+
A coach holds a fixed number of berths (a 3AC coach about 72, a Sleeper coach about 72, a 2AC coach about 46), so a party larger than that is spread across adjoining coaches. We keep sections together and send the coach-wise list before travel.
Which class is right for a school tour?+
Most school tours go 3AC or Sleeper, most college tours 3AC or Chair Car on day trains. We say which can hold the party on your date; on a busy date the class that confirms matters more than the one you planned.
Do students need ID?+
Yes. Every passenger travels with the ID they were booked with. For minors a school ID or Aadhaar works. We check the list for mismatches before booking.
When do we pay?+
After the plan and the full amount are agreed in writing, and before the booking is made, by bank transfer or UPI from the institution's account. A GST invoice follows.
What if some berths do not confirm?+
Confirmed berth or 100% refund — RAC doesn't count. For a tour we book the class and train that can hold the whole party, so a partial confirmation is the thing we plan to avoid; if it happens, that fare comes back.
Can you compare it with the flight quote we have?+
